Chapter 1 - Project description

Art. 1 The PoliHack v15 project consists of a 48-hour hackathon that will take place between April 12-14, 2024, and prior to it, a networking evening will take place to strengthen relationships between participants, volunteers and company representatives.

Chapter 2 – Description of the hackathon

Art. 2.1 The first stage of the PoliHack project consists of a 48-hour hackathon, held between April 12-14, 2024, dedicated to students and high school students passionate about IT. During it, participants have the opportunity to implement their innovative ideas and explore the entrepreneurship side, together with jurors and mentors present from partner companies.

Art. 2.2 Within the PoliHack project there are four sections, three dedicated to students (points a, b and c) and one dedicated to students (point d):

a. Web Development;

b. App Development;

c. Embedded Development;

d. Junior.

 

Art. 2.2.1 Participants will register in the section corresponding to the category to which they belong.

Art. 2.2.2 Participants can register for only one section.

Art. 2.2.3 Participants must present a document proving the status of pupil / student both at the registration in the form and at the time of arrival at the hackathon.

 

Art 2.3 This competition takes place internationally, addressing students and pupils of any nationality, gender or religion.

 

Art. 2.4 A registration fee of 50 RON / person will be charged. Payment will be made when the team registers in the form.

Art. 2.4.1 The fee is mandatory and can be paid only by bank transfer to OSUT CLUJ. Refusal to pay leads to disqualification of the team.

 Art. 2.4.2 The withdrawal and refund of the paid fee can be made until 08.04.2024. Participants who withdraw after the mentioned date will no longer be able to recover the registration fee.

 

Chapter 3 – Organisers

Art. 3.1 The organizer of the contest is the Students' Organization of the Technical University of Cluj-Napoca (OSUT Cluj), within the Technical University of Cluj-Napoca (UTCN).

Art. 3.2 The organizers reserve the right to modify these regulations or other data regarding the conduct of the contest, with the mention that they are obliged to inform the public of this fact through informative posts on the Facebook and Instagram pages of the event as well as on the site (https://polihack.osut.org ).

Chapter 4 – Registration

Art. 4.1 The registration period of the contest is 25.04.2024 – 01.05..2024.

Art. 4.2 Registration is based on a Google Forms form, published on the social networks pages of the event and on its website.

Art. 4.3 The teams will consist of minimum 3 and maximum 5 members.

Art. 4.4 The number of participants in the PoliHack project may be restricted within the allocated resources, this being announced in advance by the organizers.

Art. 4.5 The form will be filled in by a single participant of the team, who has the obligation to write down the personal details of the entire team.

Art. 4.6 The registration period may change at any time, if the organizers decide so.

Art. 4.7. After the end of the registration period, the organizers will contact the registered teams to confirm their participation in the PoliHack project.

Art. 4.8 Only students and high school students are eligible to enter the contest. They must upload pictures with the student / student card proving the status of student / student in the registration form.

Art. 4.9 The maximum number allowed for the Junior category is 10 teams.

Art. 4.10 The organizers reserve the right to close registrations earlier than the announced date, in case of reaching the maximum number of possible participants.

Chapter 5 – The theme of the hackathon

Art. 5.1 The projects carried out within the four sections presented in art. 1 will have to comply with the specific theme of the hackathon, theme that will be announced at its beginning.

Art. 5.2 Announcing the theme at the beginning of the contest has the role of eliminating possible traces of fraud (such as projects completed a long time ago and constantly improved) and to ensure a fair competition among participants.

Art. 5.3 The projects will comply with the given theme and will be mandatory during the hackathon (but not prior to it).

Chapter 6 – The Conduct of the Hackathon

Art. 6.1 Participants are required to present an identity document at the beginning of the project.

Art. 6.2 During the event, it is allowed to consult different materials/supporting sources, but participants must highlight their personal contribution to the project.

Art. 6.3 Participants will be provided: one meal on Friday, 2 meals on Saturday, one meal on Sunday by the organizers throughout the hackathon, plus access to coffee break stands and relaxation area.

Art. 6.4 The sanitary norms in force will be observed and disinfection points will be provided throughout the project perimeter.

Art. 6.5 It is forbidden to collaborate between teams and sabotage between them.

Art. 6.6 The organizers provide participants with the training sessions within the project, both those organized before the hackathon stage and during it.

Art. 6.7 Participation in training sessions is mandatory for each registered team. At least one member of each team must be present at each scheduled training session, if this article is not respected, it can lead to team scoring.

Art. 6.8 The organizers do not make available the electronic parts or software programs during the contest, they must be purchased by the participants.

Art. 6.9 The source code of the projects will be uploaded to the GitHub platform until the completion of the working time to be analyzed by the jury.

Chapter 7 – Judging

Art. 7.1 Participants are required to be present at the project judging stage.

Art. 7.2 The ranking of the teams will be made based on presentations (pitching) and technical demo, which they will present in front of the jury.

Art. 7.3 The presentations will be built based on a structure provided by the project team. Each team will have to give its presentation, and both the jury and participants will have the opportunity to ask questions to team members during the allotted time.

Art. 7.4 After the presentation session, the jury deliberates and compiles the ranking, and will announce the results during the award ceremony.

Chapter 8 - Intellectual property

Art. 8.1 The intellectual property of the solutions developed within the hackathon contest belongs to the teams that proposed them.

Art. 8.2 The organizers assume no liability if the projects carried out following the contest use content elements (texts, images, source codes, etc.) that violate copyright. All responsibility belongs to those who carried out the work.

Chapter 9 - Special remarks

Art. 9.1 By participating in the contest, participants agree to be video and/or audio and/or photo recorded during the contest and to have their photos and/or video and/or audio recordings made public on the media channels of the contest and of the Students' Organization of the Technical University of Cluj-Napoca.

Art. 9.2 By participating in this contest, participants assume full responsibility for any damage to the location where the event takes place. The organizers will not be responsible for any destruction, malfunction or damage caused by the participants or any of their guests, for any violation of this rule the participants will bear the costs of repairs.

Art. 9.3 The PoliHack project will be carried out in accordance with the provisions contained in this regulation. The terms and conditions of the regulation, presented in this document, are binding for all participants of the contest.

Art. 9.4 The provisions of this Regulation refer to personal data protection measures, according to Law no. 190/2018 on measures to implement Regulation (EU) 2016/679.

Art. 9.5 By participating in the contest, participants express their agreement to the use and processing of personal data, according to Regulation (EU) 2016/679 of the European Parliament and of the Council of April 27, 2016 on the protection of individuals with regard to the processing of personal data and on the free movement of such data by the Students' Organization of the Technical University of Cluj-Napoca.
